Privacy Policy

What we handle, why we use it, and the choices you have. This policy covers the DealerHub website, dealership workspace and DealerHub Marketplace Assistant browser extension.

01What this policy covers

This policy explains how DealerHub handles information through this website, the DealerHub workspace, and DealerHub Marketplace Assistant for Chrome and Safari. Contact us using the contact page for privacy questions or requests.

Dealerships control the customer and inventory information they put in their workspace. We process that information to provide their service. For requests about a dealership’s customer records, contact that dealership; we can help route a request where needed.

02Information we handle

We use information to deliver requested features, answer inquiries, manage accounts, provide support, and keep the service reliable and secure. We do not sell personal information or use it for targeted advertising.

  • Website inquiries: information you provide, such as your name, email, phone number, dealership, business details and message. We use it to respond to your demo, contact or launch-list request.
  • Workspace records: account and team details, dealership settings, inventory, photos, generated media, listing records, and customer or inquiry information your dealership enters or imports. Authorized workspace members can access records according to their permissions.
  • Support: messages, attachments and technical context you choose to submit, plus our replies. Do not include passwords, payment-card details or unrelated sensitive information.
  • Service operation: request and error logs, timestamps, network and browser information, authentication records, feature usage and security events needed to operate and troubleshoot the service.

03Marketplace Assistant: what it reads and stores

When you choose Use this listing, the extension reads the prepared listing package on the DealerHub page. It stores one listing, photo URLs, a scoped authorization token, approved seller profile URL, progress and results locally in that browser profile. Photo URLs can include signed access tokens. It also stores pause times and reasons, seller and app addresses, approval versions and spent-attempt identifiers. The extension does not synchronize this storage between browsers or profiles.

When you request assistance, it inspects supported Facebook form fields and visible warning text to identify restrictions or unsupported forms. You confirm the seller profile yourself; the extension does not automatically verify Facebook identity or monitor posts made outside DealerHub. It reads the relevant item URL when you choose to return a published link.

The extension does not collect Facebook passwords, session cookies, personal messages, leads or general browsing history. It has no analytics or telemetry endpoint. It does not automatically publish, save, delete or renew Facebook listings.

04Marketplace Assistant: data sent during assistance

With your permission for the specific DealerHub host, the extension sends its scoped token to DealerHub before assistance. DealerHub checks inventory, seller approval, duplicate listings and current operating limits, and records the consumed authorization. It checks again before photo handoff. Warnings or interrupted assistance create a local pause; the reason is also sent to DealerHub when reachable. These requests omit cookies and account credentials.

If you choose photo assistance, the extension downloads original photos from permitted inventory storage hosts without cookies or account credentials and temporarily holds the photo bytes for the form. Facebook receives information placed in its page and processes listings and photos under its own privacy policy. You control publication. DealerHub stores listing links and publication records when you confirm them in the workspace.

05Chrome Web Store Limited Use

DealerHub Marketplace Assistant’s use of user data complies with the Chrome Web Store User Data Policy, including its Limited Use requirements. Extension data is used only to provide, maintain, secure or improve its disclosed vehicle-listing assistance purpose.

We transfer extension data only as needed for that purpose, to comply with law, or to protect against abuse. A transfer in a business sale requires your explicit prior consent. Human access is limited to your specific consent, necessary security or legal purposes, or aggregated and anonymized internal operations. We do not sell extension data, use or transfer it for advertising, provide it to data brokers, or use it for creditworthiness or lending decisions.

06Service providers and sharing

We use Vercel for hosting, Supabase for authentication, database and file storage, and Resend for website inquiry delivery and configured email notifications. These services process the information needed for their function. Authorized DealerHub staff access relevant information for support, administration and security, subject to the extension restrictions above.

Requested AI features send relevant inputs, such as selected photos, vehicle facts, prompts, public inventory-page excerpts and generation settings, to the configured provider. Integrations include Vercel AI Gateway and its selected model providers, and Higgsfield. The provider depends on the enabled feature. The website’s photo preview does not upload its selected photos; its optional VIN lookup sends the entered VIN to the U.S. National Highway Traffic Safety Administration (NHTSA).

We may disclose necessary information to meet legal obligations or investigate fraud and security incidents. Providers may process information in countries other than yours. Third-party sites and services you use independently have their own privacy policies.

07Cookies, analytics and browser storage

The main website uses Vercel Web Analytics for aggregate traffic statistics, including visited pages, referrers, approximate location and browser or device type. It does not use third-party tracking cookies or track you across unrelated websites. This website analytics service is separate from the Marketplace Assistant, which has no analytics collection.

The signed-in DealerHub workspace uses authentication cookies and browser storage to maintain your session and save relevant preferences or drafts. Clearing browser data can sign you out or remove local drafts; it does not delete server records.

08Retention and deletion

We retain information for the service and purposes described here, considering active accounts, support needs, security, recordkeeping and applicable legal requirements. Retention varies by record; deleting a local draft does not automatically delete uploaded media or saved server history. We do not promise a single automatic deletion period for all data.

The extension’s Clear action removes its current listing, token, progress and results, and revokes optional host access. It retains local pauses and spent-attempt identifiers so clearing cannot restart a stopped operation. An authorized staff resume, verified online with a new package and changed approval version, removes the local pause. Uninstalling removes extension-local data; DealerHub’s server-side pauses, operating limits and consumed authorizations remain.

09Your choices and requests

You can decline optional extension permissions, clear its current package, uninstall it, or stop using optional features. To request access, correction, export or deletion of personal information, or stop requested marketing updates, contact us using the contact page. We may need to verify your identity or authority over dealership records. We explain any information we must retain for legal or security reasons.

Depending on your location, you may also have rights to restrict or object to processing, withdraw consent, or complain to your local privacy authority. Where required, we rely on providing the requested service, legitimate operational and security interests, legal obligations, or your consent as appropriate. We use access controls and secure connections, but no system can guarantee absolute security.

DealerHub is intended for business users, not children. We update this policy as the service changes and show the revision date above. Material changes to extension data practices will be disclosed before they take effect, with consent requested where required.
